Email & Thunderbird Configuration Guide
Follow these step-by-step instructions to securely initialize your Zoho Mail and Gmail accounts, enable Multi-Factor Authentication (MFA), generate App Passwords, and configure email synchronization with the Mozilla Thunderbird desktop client.
A. Initial Login and Multi-Factor Authentication (MFA) Setup
Install Authenticator App
Download and install the Zoho OneAuth application on your smartphone.
Sign In
Log in using your assigned email address and the temporary password provided to you.
Change Password
When prompted, create a new, secure password and confirm the change.
Re-authenticate
Sign in again using your newly updated password.
Generate Verification Code
Open the OneAuth application on your phone and scan the QR code displayed on your web browser. This will generate a 6-digit code.
Verify Login
Enter the 6-digit code on the Zoho Mail login page and click Verify.
Enable Advanced Security
Toggle Passwordless sign-in and Fingerprint authentication to ON, then press ENABLE MFA.
Set Passphrase
Enter a secure passphrase that is distinct from your Zoho Mail password. You may select SKIP if organizational policy allows.
Secure Backup Codes
Click Generate New Codes, download the file for safe keeping, and proceed by clicking Continue to Sign In.
Test Smart Sign-In
Logout of the Zoho Mail web portal and attempt to log back in using the QR code scanner in the OneAuth app to ensure setup is successful.
B. Configuring Server Settings in Mozilla Thunderbird
Open Thunderbird
Launch the Mozilla Thunderbird desktop application.
Access Account Settings
Select your designated email account in the left sidebar and navigate to Settings.
Configure Outgoing Server (SMTP)
Navigate to Account Settings > Edit outgoing server.

Apply and Restart
Press Enter to save your configuration changes, then close and restart Thunderbird.
Verify Connection
Test the integration by clicking Get Messages to retrieve incoming mail and attempting to send a test email.
C. Updating the Thunderbird Application Password
Access Account Dashboard
From the Zoho Mail interface, click on your profile avatar (top right) and navigate to My Account.
Navigate to App Passwords
Go to the Security tab and select App Passwords.
Initiate Password Generation
Click the Generate New Password button.
Name the Application
Enter a recognizable application name (e.g., "Thunderbird") and click Generate.
Copy Credentials
Highlight and copy the newly generated application password.
Update Thunderbird
Return to the Mozilla Thunderbird application and paste the copied password into the Thunderbird password prompt or password manager.
Save Password
Check the box labeled Use Password Manager to remember this password, then click OK.
D. How to Login Zoho Mail IMAP in Thunderbird
Add New Account
In Thunderbird, navigate to Set Up Another Account and select Email.
Enter Basic Info
Fill up your Full name and Email Address, then press Continue.
Edit Configuration
Click on the Edit Configuration button to manually enter server details.
Set Incoming Server (IMAP)

Connect to Servers
Click Connect, and then confirm by clicking Connect again if prompted.
Enter App Password
When prompted for a password, enter the Zoho Mail App Password (generated in Section C) and click Continue.
Finalize Initialization
Wait until Thunderbird finishes the initialization and syncs your folders.
E. How to Create App Password in Gmail
Manage Google Account
Navigate to Gmail, click your profile picture, and select Manage your Google Account.
Security Settings
Navigate to the Security tab and locate the 2-Step Verification section.
Enable 2-Step Verification
If not already enabled, Turn On 2-Step Verification following Google's prompts.
Access App Passwords
Search for App passwords or navigate directly to: https://myaccount.google.com/apppasswords.
Generate Password
Enter a descriptive App Name (e.g., "Thunderbird") and press Create. Keep this 16-character password handy for the next section.
F. How to Login Gmail IMAP in Thunderbird
Add New Account
In Thunderbird, navigate to Set Up Another Account and select Email.
Enter Basic Info
Fill up your Full name and Gmail Email Address, then press Continue.
Edit Configuration
Click on the Edit Configuration button to adjust the authentication settings.
Update Authentication Method
Set the Authentication dropdown to Normal Password for both the Incoming and Outgoing Server, then press Connect.
Google Sign-in Prompt
If a Google window opens, log in to your Gmail account. When prompted for permissions, choose Select All and click Continue.
Finalize Initialization
Wait until Thunderbird finishes the initialization and securely synchronizes your inbox.
